CRCA Board Meeting Minutes (January 2020)

January: Monday, January 20th, 2020, 6pm - 9pm

The all-volunteer CRCA Board held its first meeting of 2020 on Monday, January 20th. Minutes from that meeting, in draft form pending ratification by the full Board as part of the next meeting, follow below. PRESIDENT

  • Welcome and Intros

  • Distributed and explained Non-profit Board of Directors Guidance materials

  • Distributed and explained Board & Key Personnel Conflict of Interest Policy & Conflict of Interest Disclosure Form, which will be required of all Board Members and Key Persons

  • Discussed Importance of Inclusivity and creation of Anti-harassment policy

  • Discussed Intra-Board Communication options and feedback: slack/e-mail/txt

 TREASURER

  • Have fully integrated into Quickbooks for 2020

  • Overview of 2019 expenses

  • Update on current funds

  • Increase in the cost of USAC insurance

  • Update on outstanding sponsorship payment

  • Clarified tax expectations for freelance hires

  • Paypal account for the club is now live

TEAMS

  • Update on CRCA Logo requirements has been sent out to teams. 

  • Increased marketing push to attract new teams for 2020 including a stronger focus on social media

  • Addressed issues regarding team duties and the need to reevaluate our needs for 2020. 

MEMBERSHIP

  • Board discussed and voted in the affirmative to create new membership structure

    • No change made to associate membership

    • Season pass is now $150 with 2 marshal dates required

    • Donor membership price has been reduced to $450

    • A new “Volunteer” level membership for $100 will be introduced and limited to 30 members.  Will require 3 marshal dates

  • Board discussed and vote in the affirmative to create CRCA patches for unattached riders to wear on neutral kits, replacing yellow club jersey requirement

MARSHALING

  • Paulette has retired and will not be the main contact any longer for marshal subs

    • Members who need to hire a sub will contact Marshal Director directly. 

    • Price remains $50 to hire a substitute marshal

    • Discussed ways to improve marshal no-show rate and make marshal check-in more efficient

CLUB RACING

  • Board discussed and voted in the affirmative to institute chip timing

    • Chips provide instant results

    • Eliminate the need to check-in prior to races

    • Will last 5-7 years and can be reused by members

    • Ease administrative burden for Board/Team Duty/Staff

OPEN RACING

  • Dates for Open Races have been determined

    • May 3 – Orchard Beach

    • May 9 – Bear Mountain

    • May 30 – Dave Jordan Classic

    • June 27 – Grant’s Tomb

    • July 12 – Lou Maltese Memorial

    • July 26 – Mengoni Grand Prix

PUBLIC RELATIONS / SPONSORSHIP

  • Lucarelli & Castaldi have renewed the title sponsor for Club Series

  • In negotiations with sponsors for open races

  • Need to find additional sponsors

RIDER DEVELOPMENT

New rider clinics will start in February to prepare people for March 1st season start
